Cancellation & Rescheduling Policy
To Our Valued Clients,
We truly value your time — and we reserve appointment slots specifically for your pet. When an appointment is canceled or rescheduled at the last minute, we often cannot fill that time, which means another sick pet may lose the chance to be seen.
To help us care for as many animals as possible, we ask that you review and follow the policy below.
Notice Required:
To cancel or reschedule without a fee, we require:
- Routine appointments: at least 24 business hours’ notice
- Procedures/surgeries/dentals: at least 72 business hours’ notice
How to Cancel or Reschedule
To ensure your request is received and properly documented:
- Please call our office and speak with a team member to cancel or reschedule during business hours.
- Email and voicemail are welcome after hours, but your appointment is not considered canceled/rescheduled until you receive confirmation from our team.

Fees & Scheduling Requirements
New Clients
We want to remain available to the community while also respecting the time and needs of our established clients.
- New clients are required to pay a pre-paid exam fee prior to their first scheduled appointment.
- This fee is applied to the appointment on the day of your visit.
- If you need to reschedule, the pre-paid fee may be carried over one time.
- If the appointment is canceled with less than 24 business hours’ notice or is a no-show, the fee will remain on the account and is not refundable.
Established Clients
- Any established client who does not show, or cancels/reschedules with less than 24 business hours’ notice (without an emergency) will be considered a No Show and will be charged a $100 fee for DVM appointments, and a $25 fee for LVT appointments.
- This fee must be paid prior to the next appointment being scheduled.
- Repeated late cancellations/no-shows impact our ability to provide care and we may require exam fees be prepaid at time of scheduling. If a third No Show occurs, the patient may be dismissed from Honeoye Falls Veterinary Hospital.
Procedures / Surgery / Dental Appointments
Because these appointments require reserved staffing and extended time:
- Procedures or surgeries canceled with less than 72 business hours’ notice: $265 cancellation fee
- Dental prophylaxis canceled/no-show with less than 72 business hours’ notice: $300 cancellation fee
- These fees are charged to the client and are due before scheduling the next visit/procedure.
Emergencies & Understanding
We understand that unforeseen emergencies happen. If you are dealing with a true emergency or crisis, please call us as soon as you are able — we will always try to be fair and reasonable.
